IRF RCD Providers: Find your GreenMail eLetters and Form Submission Status

Palmetto GBA’s eServices is an essential component to the Inpatient Rehabilitation Facility (IRF) Review Choice Demonstration (RCD), providing education, resources, and correspondence via the online portal. All IRF RCD providers will receive a copy of the decision letter via greenmail, in addition to a copy of the letter sent the same method as the submission. 

You will continue to receive submission notifications in your Messages tab and the eDelivery tab contains your eLetters. As a reminder, documents in your Messages and eDelivery tabs are archived automatically after 60 days. Please check the Archive tab for letters older than 60 days. These tabs will allow you to filter the information you see by adjusting your preferences using filtering. This will help you manage the volume of information you receive. The eServices user manual (PDF) also provides a more detailed step-by-step guide on all new functions. Please share this information with your staff. 

Provider Administrators may select to receive letters electronically through eServices. After navigating to the Admin tab, the user will have the option to select the eDelivery Preferences sub-tab.

From this sub-tab, providers can opt to receive their letters by U.S. mail or through eServices via eDelivery. For providers enrolled in eDelivery, an eDelivery message will be sent with a link to the letter. There is also a User Pref email Notification option that allows the user to receive an email when new eLetters are available in eServices.

Decisions Following Review

  • The MAC will communicate a decision via telephone within two business days and in writing within 10 business days. If the request was non-affirmed, the MAC will provide individualized education on the reasons for the non-affirmed decision and encourage the IRF to resubmit the request as soon as possible.
  • The MAC will also send a decision letter to the IRF within 10 business days that includes the decision. Non-affirmation letters will provide details on which policy requirement(s) was/were not met.
  • The beneficiary will also receive a copy of the decision letter

 IRF’s Actions for All Non-Affirmed Decisions

  • Resubmit a pre-claim review request with additional documentation, if appropriate
  • Use the IRF pre-claim review request checklist/tool to ensure that the request package complies with all requirements

The IRF should include the Unique Tracking Number (UTN) on the final claim.
